MYBOS takes your privacy very seriously. This document describes how we use and protect any personal information you share with us. By using our Service, you consent to the terms of this Policy.

What personal information do we collect from you?

When registering for our service, we may collect Personal Identifiable Information (PII), such as your name, email address, mailing or billing address, phone number(s) and your Company details, such as company name and ABN.

MYBOS may receive personal information from you about others through your use of our service, you may enter the personal information about someone else, such as residents living in the property you manage, or trades people who work on your property.

You must ensure that you are authorised to disclose that information to MYBOS, and that MYBOS may collect and store that information as detailed in this Policy. You must take reasonable steps to ensure the individual concerned is aware of, and consents to their personal information being stored by MYBOS as detailed in this Policy.

Where requested to do so by MYBOS, you must also assist us with any requests by the individual to access or update the personal information you have collected from them, and entered into our service.

How does MYBOS use your information?

MYBOS uses the personal information that we collect from you in the following ways:

  • Verify your identity
  • Communicate with you
  • Provide access to our Service
  • Provide you with technical support, training or marketing material relating to our Service

SMS / Text Messaging

If you provide your mobile number and opt in, MYBOS may send you SMS text messages relating to our Service, such as account and identity verification, maintenance and booking notifications, building and community alerts, support communications, and — where you have separately agreed to receive them — service and product updates. Consent to receive text messages is not a condition of purchasing any product or service.

Message frequency may vary. Message and data rates may apply. You can opt out of text messages at any time by contacting us at support@mybos.com or +1 844 445 3675.

No mobile information (including your mobile number) will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third party, except with the SMS aggregators and service providers strictly necessary to deliver our text messaging service on our behalf, who are bound by confidentiality and may not use the information for any other purpose. All other categories of information sharing described in this Policy exclude text messaging opt-in data and consent.

Where does MYBOS store your information?

All Data, whether personally identifiable or not, that is entered by you or by MYBOS on your behalf, is stored in AWS Data Warehouses in Sydney, Australia.

Your personal information is stored in Australia. Limited information necessary to deliver specific features — for example, the mobile number and message content required to send an SMS — may be processed outside Australia by the carriers and SMS service providers that deliver those messages. We take reasonable steps to ensure such providers protect your information and use it only to provide the Service. By providing MYBOS with your personal information, you consent to MYBOS storing your personal information with a third-party dedicated service provider. While your information will be stored on servers not owned by MYBOS, it will remain in MYBOS’ control at all times.

The service provider’s role is limited to providing hosting and services to MYBOS, and the server provider does not have access to your personal information.

How does MYBOS protect your information?

MYBOS is committed to protecting your privacy. We take all reasonable precautions to protect your privacy from unauthorised access, modification or disclosure. However, the Internet is not in itself a secure environment, and we cannot give an absolute guarantee that your information will be secure at all times. We will advise you at the first reasonable opportunity upon discovering or being advised of a security breach where your personal information is lost, stolen, accessed or used by any unauthorised persons or in any unauthorised manner.

The following measures are currently in place:

Server-level hardware firewall is monitored 24 hours a day by our infrastructure partner.

Any information entered into our Service is encrypted and transmitted using either SSL or TLS encryption (SHA-256), ensuring that no third party can intercept or tamper with any data being transmitted from your device to our server.

In addition to SSL, MYBOS also uses Transport Layer Security (TLS). TLS ensures that no third party can intercept or tamper with any data being transmitted from your device to our server.

Do we use ‘cookies’?

Cookies are small text files that a site or its service provider transfers to your Device through your Web Browser (if you allow it to) that enables the site’s or service provider’s system to recognise your browser and capture and remember certain information. MYBOS uses cookies to help us understand your preferences based on previous or current site activity, such as clicking on the “Remember Me” checkbox on the login screen.

We also use cookies to help us compile non-identifiable data about site traffic and site interaction so that we can offer a better site and service experience in the future. If you choose not to allow our Site or Service to store cookies on your device, you will still have access to our Site or Service, but certain features, such as the ‘Remember Me’ option, will not be available.

Third Party Disclosure

MYBOS will never disclose your personal information to a third party without your express consent. However, you should be aware that MYBOS may be required to disclose your personal information without your consent in order to comply with any court orders, subpoenas, or other legal process or investigations. Where possible and appropriate, we will notify you if we are required by law to disclose your personal information.

The third parties who host our servers do not control, and are not permitted to access or use your personal information except in the limited purpose of storing the information. MYBOS will never disclose, share, trade or sell your information to any third-party entity for that entity’s own purposes. We share information only with the limited service providers — such as our hosting provider and our SMS delivery providers — necessary to operate and deliver the Service. These providers are bound by confidentiality and may use the information solely to provide services to MYBOS.

MYBOS Privacy Complaints Process

If you wish to complain about how we have handled your personal information, please provide our Privacy Officer with full details of your complaint to support@mybos.com. Our Privacy Officer will endeavour to provide an initial response to your complaint within 10 business days and investigate and attempt to resolve your complaint within 30 business days.
