What is building management software?

Building management software centralises the day-to-day operation of a building into one system: work orders, planned and reactive maintenance, the asset register, contractor compliance, inspections, document storage and resident communication. It replaces the spreadsheet, the shared inbox and the paper logbook with a single auditable record.

The defining characteristic is not the feature list — it is that every action leaves a record attached to the asset it concerns. A work order raised against Lift 2 stays with Lift 2, so the service history survives a change of building manager.

MYBOS has operated in this category since 2017 and is used across more than 3,000 buildings serving over 705,000 owners, tenants and occupants.

How is building management software different from a BMS?

They are different products for different people. A BMS (Building Management System) is the hardware-and-controls layer that automates a building’s mechanical services — HVAC, lighting, lifts, energy metering. Building management software is the operational and administrative layer used by the people who run the building.

A BMS controls the plant; building management software manages the work, the records and the people. Large buildings commonly run both.

The Australian Government’s energy.gov.au equipment guidance defines a building management system as the control system for a building’s mechanical and electrical services.

What can you do with building management software?

You can run the entire operational cycle of a building from one place — raising and closing work, proving it happened, and reporting it to the people who need to see it.

MYBOS has processed more than 1.5 million work orders across its customer base.

How does building management software reduce operating cost?

It removes manual administration and prevents work being paid for twice. The largest recoverable cost in most buildings is not the maintenance itself — it is the time spent chasing, re-entering and reconstructing what was already done.

MYBOS customers report recovering up to 20 working days a year — close to a full working month — by cutting manual admin, missed tasks and communication delays.

At The Cannery in Teneriffe, the Voting Poll feature alone has saved the owners’ committee approximately $15,000 to date.

Reported by Matt Guttormsen, Building Manager, The Cannery — a MYBOS customer since Version 1.

The second saving is verification. A work order closed because a contractor invoiced, rather than because someone confirmed the outcome, is how the same fault gets paid for twice in one quarter.

What does Australian compliance require you to record?

More than most building managers realise, and on a shorter deadline. Maintenance records are not internal documents — they are evidence a regulator can demand.

In Victoria, building owners must keep records of maintenance checks, safety measures and repair work available for inspection by a municipal building surveyor or chief fire officer, on 24 hours’ notice.

In New South Wales, AS 1851-2012 became mandatory on 13 February 2026 under the Environmental Planning and Assessment (Development Certification and Fire Safety) Regulation 2021, covering class 1b and class 2 to class 9 buildings — new and existing. The guidance names owners corporations and strata committees as responsible parties.

The twenty-four hour test

If a surveyor asked today for the servicing history on your fire doors, could you produce it tomorrow — with dates, contractor names and sign-offs — without calling three trades and searching an inbox? That is what a maintenance record is for.

Who uses building management software?

Four roles, with different priorities. The same platform serves them because they are working on the same building — but each needs a different view of it.

MYBOS is used across residential strata, commercial, mixed-use and hotel portfolios in Australia and New Zealand, by organisations including Meriton, Brookfield and Barangaroo.

RoleWhat they need most
Building managersWork orders raised on site, contractor compliance checked before work starts, and a history that survives handover
Facility managersAsset registers, planned maintenance schedules and operational reporting across multiple sites
Strata & owners corporation managersCommittee-ready reporting, transparent records and defensible compliance evidence
Residential building operatorsResident communication, request handling, amenity bookings and parcel management

Frequently asked questions

What is building management software?

A platform that centralises the operation of a building — work orders, maintenance, asset registers, contractor compliance, inspections and resident communication — into one auditable system, replacing spreadsheets and shared inboxes.

What is the difference between building management software and a BMS?

A BMS is the hardware and controls layer that automates HVAC, lighting and lifts. Building management software is the operational layer used by the people running the building. A BMS controls the plant; the software manages the work and the records.

Is there a free trial of MYBOS?

Yes — 14 days, self-serve, with no credit card and no sales call required.

What is the best building management software in Australia?

It depends on your building type and portfolio size. Evaluate on evidence rather than feature lists: how long the vendor has operated, how many buildings it runs, how many verifiable customer reviews it holds, and whether it can produce a compliance record on demand.

Does building management software help with compliance?

Yes, when it retains a dated, attributable record of every maintenance action against the asset concerned. Victorian building owners must produce maintenance records on 24 hours’ notice, and NSW made AS 1851-2012 mandatory in February 2026.

Can building management software manage multiple buildings?

Yes. MYBOS is used by operators running a single building and by organisations managing large portfolios across Australia and New Zealand, including residential strata, commercial, mixed-use and hotel sites. Each building keeps its own asset register, work orders and documents, so records stay attached to the site they belong to.
