What is building asset management software?

Building asset management software holds a register of every physical asset in a building and keeps the operational history attached to each one — what it is, where it is, who services it, when it was last attended, what was done, and what it cost.

The register is only useful if the work history lives inside it. An asset list in a spreadsheet tells you what you own. An asset register inside your maintenance and work orders system tells you whether it has been looked after — and lets you prove it.

How is building asset management different from asset tracking?

They solve different problems. Asset tracking answers “where is it?” — using barcodes, QR tags, RFID or GPS to locate movable items such as tools, laptops and equipment. Building asset management answers “what condition is it in, who maintained it, and can I prove it?” for fixed plant that does not move.

A lift, a fire panel and a cooling tower do not need locating — they need a service history.

Some buildings need both. If your problem is portable equipment going missing, a tagging system is the right tool. If your problem is proving the chiller was serviced, this is.

What belongs in a building asset register?

Enough that someone who has never seen the building could take it over. An asset register that cannot survive a change of building manager is a list, not a record.

The two fields most often missing are the ones that matter later: what was actually done, and who verified it.

What must you record about your assets for compliance?
