Strata Management vs Body Corporate: The Complete AU Terms & Regulations Guide (2026)

Quick answer: In Australia, "strata" and "body corporate" describe the same kind of shared-ownership property scheme, but the two terms aren't interchangeable everywhere. "Body corporate" is the legal term for the entity in Queensland and Tasmania; NSW and Victoria call the same entity an "owners corporation"; Western Australia calls it a "strata company"; South Australia uses "strata corporation" or "community corporation" depending on the title type. A strata manager is a separate, appointed professional who carries out the entity's decisions — the manager doesn't own the building or make governance decisions alone.

If you own a unit, sit on a committee, or manage a portfolio of strata properties, the terminology confusion is understandable: the underlying idea (owners of individual lots jointly own and manage the shared parts of a building) is the same nationwide, but the legal name for the governing body, the manager's exact powers, and the Act it all sits under change at the border.

Strata manager vs body corporate: who does what

Body corporate / owners corporation

Strata manager

What it is

The collective legal entity made up of all lot owners

An appointed professional or firm, engaged by the entity

Who's in it

Every owner in the scheme, automatically

Hired staff — not an owner (unless separately an owner)

Decision-making authority

Yes — votes at AGMs/committee meetings set the rules

No independent authority — acts under the entity's instructions

Typical responsibilities

Approving budgets, by-laws, major works, insurance

Administration, meeting coordination, levy collection, compliance paperwork, day-to-day communication

Who appoints them

Formed automatically when the scheme is registered

Appointed (and can be replaced) by the body corporate/owners corporation

The short version: the body corporate (or owners corporation, depending on the state) is the "who decides." The strata manager is the "who executes." A strata manager can recommend, coordinate, and administer, but the committee or the entity as a whole holds the actual decision-making power.

What does a body corporate (or owners corporation) do?

The body corporate is responsible for the collective interests of everyone who owns a lot in the scheme. In practice, that means it:

Holds and maintains common property (foyers, lifts, gardens, shared roofs and driveways)

Sets and collects levies to fund maintenance, insurance, and admin costs

Approves by-laws that govern how residents use common areas and their own lots

Carries the scheme's insurance obligations

Runs the AGM and any general meetings where owners vote on budgets, major works, and rule changes

Every owner is automatically a member. Day-to-day, most bodies corporate elect a smaller committee to make routine decisions between general meetings, with bigger items (major capital works, rule changes) going to the full ownership for a vote.

What does a strata manager do?

A strata manager is engaged — usually for an annual fee funded by levies — to handle the administrative load that would otherwise fall to volunteer committee members. That typically includes:

Preparing and distributing meeting notices, agendas, and minutes

Collecting levies and managing the scheme's finances

Coordinating maintenance and compliance requests with contractors

Keeping the scheme's records, insurance certificates, and statutory registers up to date

Advising the committee on its obligations under the relevant state Act

A strata manager doesn't own a unit in the scheme (unless they separately happen to), and doesn't get an independent vote on scheme decisions. Their role is to make sure what the body corporate or owners corporation decides actually gets implemented and documented correctly.

Strata and body corporate terminology by state

The entity, the manager's obligations, and even the vocabulary shift depending on which Act applies. Here's the current picture across six states and territories:

State/Territory

Term for the entity

Governing Act

New South Wales

Owners corporation

Strata Schemes Management Act 2015 (NSW)

Queensland

Body corporate

Body Corporate and Community Management Act 1997 (Qld)

Victoria

Owners corporation

Owners Corporations Act 2006 (Vic)

Western Australia

Strata company

Strata Titles Act 1985 (WA)

South Australia

Strata corporation (older schemes) or community corporation (schemes registered since 2009)

Strata Titles Act 1988 (SA) or Community Titles Act 1996 (SA)

Tasmania

Body corporate

Strata Titles Act 1998 (Tas)

Two live regulatory developments worth knowing about if you're operating across states in 2026:

NSW strata law changed materially in 2025: strata managers must now disclose commercial relationships with suppliers and developers, along with any commissions or training benefits received, with penalties of up to $110,000 for non-compliance, and the window for owners to pursue an owners corporation over unresolved common-property repairs was extended from two years to six (PBL Lawyers, February 2025). If your portfolio includes NSW schemes, both changes affect what your manager needs to disclose and how long a repairs dispute can stay live.

Victoria's Owners Corporations Act 2006 is currently under formal government review, with the Victorian government consulting on reforms that could reshape owners corporation governance (Engage Victoria, 2026). Nothing has been legislated yet, so the Act above remains current, but it's worth watching if you operate in Victoria.

ACT and NT aren't covered in this table; if your portfolio extends there, check with a local strata lawyer, since neither jurisdiction is reflected in the state comparison above.

Frequently asked questions

Is body corporate the same as strata?
They describe the same underlying system of shared property ownership, but "body corporate" is the specific legal term used in Queensland and Tasmania, while other states use "owners corporation," "strata company," or "strata/community corporation." The concept is consistent; the label depends on where the property is.

What is the difference between strata and body corporate?
"Strata" typically refers to the title system itself (strata title, strata scheme), while "body corporate" (or its state equivalent) refers to the legal entity that governs the scheme. A strata scheme has a body corporate; the two terms describe different parts of the same structure rather than competing systems.

What does a strata manager do?
A strata manager handles the administrative and compliance work for a body corporate or owners corporation — levy collection, meeting coordination, contractor liaison, and record-keeping — under the instruction of the committee or the entity as a whole. See the full breakdown above.

What is a body corporate?
A body corporate is the collective legal entity formed automatically when a strata or community title scheme is registered, made up of every lot owner in that scheme. It holds the common property, sets levies, and makes governance decisions, either directly or through an elected committee.

Do all states use the same strata rules?
No. Each state and territory has its own Act, and the terminology, the manager's disclosure obligations, and dispute-resolution timeframes all vary. See the state-by-state table above for current terms and Acts.

Where MYBOS fits

Whichever term your state uses for the entity, the operational job is the same: keeping levies, maintenance, compliance, and owner communication running without it consuming a committee's or a manager's week. MYBOS supports strata managers and committees with a single dashboard for reporting, maintenance tracking, and owner communication, so raising something with the body corporate — or getting sign-off from it — doesn't mean chasing paperwork across three different systems. See how MYBOS supports strata management.

What Is a Work Order? A Guide for Australian Building and Facility Teams

Every building runs on them. A tap is leaking on level four. The car park roller door has stopped halfway. The fire panel threw a fault at 2am. Somewhere between the person who noticed the problem and the person who fixes it sits a work order — and how well that work order is written usually decides whether the job gets done once or three times.

Most building managers have a working sense of what a work order is without ever having had it defined. That is fine until an insurer, a municipal building surveyor or an incoming committee asks you to produce twelve months of maintenance records, and the answer is scattered across an inbox, a WhatsApp thread and a spiral notebook.

The short answer. A work order is a documented instruction to carry out a specific piece of maintenance or repair work. It records what needs doing, who is responsible, when it is due, and what was actually done.

In Australian building and facility management a work order does two jobs at once: it coordinates the job, and it creates the maintenance record that regulators, owners corporations and insurers can ask to see.

What a work order actually is

A work order is the instruction and the evidence in a single record. It begins when someone authorises work to be done and it closes when that work is verified as complete.

The distinction that matters in practice is between the request and the order. A resident reporting a broken light is making a request. It becomes a work order when someone with authority decides the work will happen, assigns it, and sets a due date. That decision point is where accountability starts — and it is the step most often skipped in buildings still running on email.

What a work order should contain

A work order that cannot answer these questions six months later is not a record, it is a note. At minimum it should capture:

Field

Why it matters

Unique work order number

The reference everyone quotes — contractor, invoice, committee minutes, insurance claim

Asset or location

Which pump, which door, which level. Ties the job to your asset register

Description of the fault

What was reported, in the reporter's words, before anyone diagnosed it

Priority

Emergency, urgent, routine or scheduled — drives the response clock

Raised by and date

Who reported it and when the clock started

Assigned to

The trade, contractor or in-house team member responsible

Due date or SLA

The commitment being made, and what gets breached if it slips

Work performed

What was actually done, by whom, on what date — not what was requested

Parts, cost and sign-off

Materials used, cost against budget, and who verified completion

The last two fields are the ones that get dropped, and they are the ones that matter later. A work order closed without a record of what was performed proves that someone was asked to do something — not that it was done.

Work order vs maintenance request: the difference

These terms get used interchangeably and it causes real problems in reporting. A maintenance request is an input. A work order is a committed job. One building can generate four hundred requests a year that resolve into two hundred and eighty work orders, because duplicates get merged and some requests are declined or referred to a lot owner as their own responsibility.

If your system treats every request as a work order, your completion statistics will look worse than your building is actually performing, and you will not be able to show a committee how much of the workload is being absorbed before it becomes a job.

How a work order moves through its lifecycle

Most buildings run some version of six stages:

Request — someone reports a fault or a scheduled task falls due.

Triage — the request is assessed, deduplicated, and a priority is set.

Assignment — a contractor or team member is allocated and a due date committed.

Execution — the work is carried out and progress is updated against the order.

Verification — the building manager confirms the work was actually completed to standard.

Close and record — cost, parts and sign-off are captured, and the record is retained.

Stage five is where buildings lose the most money. Closing a work order because a contractor said they attended, rather than because someone confirmed the outcome, is how the same fault gets paid for twice in one quarter.

Reactive and preventive work orders

A reactive work order responds to something that has already failed. A preventive one is generated on a schedule before failure — quarterly pump servicing, annual fire equipment testing, six-monthly gutter clearing ahead of storm season.

The ratio between them is the single most useful number a building manager can report. A portfolio running ninety per cent reactive is being managed by whatever breaks next. Shifting that ratio is slow work, and it only happens if preventive tasks are raised as real, assignable, trackable work orders rather than living in someone's calendar.

In Australia, your work orders are a compliance record

This is the part that separates building management from generic maintenance work, and it is where the definition stops being academic.

In New South Wales, AS 1851-2012 became mandatory on 13 February 2026 under the Environmental Planning and Assessment (Development Certification and Fire Safety) Regulation 2021, covering class 1b and class 2 to class 9 buildings — both new and existing. Building owners, which the guidance explicitly includes owners corporations and strata committees, must ensure essential services are maintained in accordance with the standard. (Building Commission NSW, February 2026)

In Victoria, building owners must keep records of maintenance checks, safety measures and repair work so they can be inspected by a municipal building surveyor or chief officer of the fire brigade, and must produce them on request after 24 hours' notice. Owners must also prepare an Annual Essential Safety Measures Report. (Building and Plumbing Commission Victoria, 2026)

Twenty-four hours. That is the practical test of a maintenance system. If a surveyor asked today for the servicing history on your fire doors, could you produce it tomorrow — with dates, contractor names and sign-offs — without calling three trades and searching an inbox? If the answer is no, the gap is not a filing problem. It is a records problem, and the work order is the record.

Where work orders break down in practice

The failure modes are consistent across buildings of very different sizes:

Verbal jobs. Work agreed in the lift or on site and never raised, so it exists only in one person's memory.

Email as the system. Threads fork, get forwarded, and the completion sits in a reply nobody kept.

No asset link. The order says "pump room" but not which pump, so failure history can never be assembled.

Closed on assumption. Marked complete because the contractor invoiced, not because the work was verified.

Handover loss. A building manager moves on and the maintenance history walks out with them.

Each of these is survivable on its own. Together they are why a building can spend heavily on maintenance for years and still have nothing to show a committee asking what the money bought.

Moving off paper and email

Work order software exists to close the gap between the instruction and the evidence. The useful capabilities are unglamorous: a unique number on every job, a link to the asset register, a due date that is visible to more than one person, a mobile record of what was actually done on site, and a history that survives a change of building manager.

None of that requires a large system. It requires that every job — reactive, preventive, resident-reported or contractor-initiated — enters the same place and leaves a record behind.

Frequently asked questions

What is a work order in maintenance?

A documented instruction to carry out a specific maintenance or repair task, recording what needs doing, who is responsible, when it is due, and what was actually completed.

What is the difference between a work order and a maintenance request?

A request is a report of a problem. It becomes a work order once someone with authority commits to the work, assigns it and sets a due date. Not every request becomes a work order.

What should a work order include?

A unique number, the asset or location, the reported fault, a priority, who raised it and when, who it is assigned to, a due date, a record of the work performed, and cost and sign-off.

Who raises a work order?

Usually the building or facility manager, acting on a resident report, a contractor's finding, a scheduled preventive task, or an inspection defect.

What is a work order number?

The unique reference for the job. It is what ties the request, the contractor's attendance, the invoice and the maintenance record together.

How long should work order records be kept?

There is no single national retention period. Requirements vary by state and building class, and in Victoria records must be available to a municipal building surveyor on 24 hours' notice. Check the obligations for your state and building class rather than assuming a default.

See how MYBOS handles work orders. MYBOS raises, assigns, tracks and records every work order against the asset it belongs to — so the maintenance history stays with the building, not with whoever happens to be managing it.

Managing a building involves juggling many responsibilities – repairs, tenant communications, inspections, safety compliance, maintenance schedules, and more. While many building managers still rely on spreadsheets to track all of this, a manual-first approach only works for so long. As your building portfolio grows or responsibilities increase, the cracks begin to show. Organisation slips, mistakes become more common, and key tasks can get overlooked.

A 2023 report from Sodexo Australia highlights a major shift toward smart building tools and digital workflows. According to the report, sensor-based systems that manage lighting, ventilation, and temperature are delivering energy savings between 15% and 40%. This signals a growing preference among building operators for tools that provide better oversight, clearer reporting, and improved team collaboration. In this context, relying solely on spreadsheets can significantly hinder efficiency and responsiveness.

Spreadsheets: Simple but Risky

Spreadsheets are familiar and easy to use. You open a file, enter data, save it, and you’re done. That simplicity works when you’re managing a handful of tasks. But buildings are complex, and the margin for error is slim.

A PwC report found that 88% of spreadsheets contain errors. That’s a serious concern when you’re using them to oversee maintenance schedules, tenant requests, or safety checks. A missed formula or overlooked cell could lead to a critical task being skipped – or worse, misreported.

Collaboration can be another potential weak point, since spreadsheets don’t handle multi-user environments well. Anyone with access can overwrite data, there’s no version control, and no permissions structure to limit editing rights. The result? Confusion, miscommunication, and lost information.

What Building Management Software Does

Building management software is purpose-built to handle the day-to-day demands of facilities and property oversight. It centralises everything; scheduling, tenant communication, issue tracking, and reporting, all within a single platform.

MYBOS, for instance, is tailored to support building managers, strata teams, and real estate companies. It’s especially effective in smart buildings and environments that demand modern maintenance strategies.

Instead of juggling multiple files and systems, you work from one centralised dashboard with full status and progress oversight on every single action. This consistency saves time and improves accuracy, and it also makes it easier to monitor performance and track activity over time.

Why Software Works Better

Here’s how building management software improves day-to-day operations:

Fewer errors: You enter data once, and the system updates everything automatically. No need to duplicate entries across spreadsheets – less manual input means fewer mistakes.

Automation: Set recurring tasks, automate tenant updates, and schedule preventive maintenance. The software handles follow-ups and reminders, so you don’t have to.

Transparent data: A complete historical record of all work completed on an asset and in your preventive maintenance schedule, ensuring you meet auditing and compliance guidelines.

Team collaboration: Multiple users can access the system from different locations. Permissions control who can view or edit data, removing the risk of overwritten or lost files.

Faster reporting: Generate reports with a few clicks, with no complex formulas or digging through old data. You get up-to-date, shareable information instantly.

Smart system integration: If your building uses automated systems like HVAC, lighting, or security, the software can often integrate directly, offering more control and visibility.

Want to learn more? Here’s how MYBOS supports strata managers.

Maintenance and Asset Management

While spreadsheets can track assets and note when maintenance is due, their capabilities stop there. They don’t provide automated reminders, monitor performance trends, or store a comprehensive maintenance history – unless you input everything manually.

In contrast, building management software maintains a full record for each asset. You can attach documents, log repairs, and monitor performance over time. This helps with planning and budgeting, and it ensures you aren’t caught off guard by unexpected maintenance. Preventive maintenance becomes easier, too – allowing you to catch issues early and avoid larger, more costly repairs. If there’s ever a complaint or audit, you’ll have a complete history at your fingertips.

Staying Compliant

Compliance is a critical part of building management. You need to document inspections, confirm that issues were resolved, and prove that tenants were informed.

Software helps by maintaining a digital audit trail. You can instantly retrieve records during inspections or reviews – no need to search through email threads or scattered documents.

Spreadsheets can’t match that level of reliability. Even when carefully maintained, they make it hard to keep everything organised in one place.

Looking for more ideas? This article on strata technology explores other ways to modernise your operations.

What the Industry Is Saying

Industry research backs this shift. A Deloitte report found that digital systems significantly boost productivity and reduce costs in facility management. When teams move away from spreadsheets, they free up time and improve operational performance.

Similarly, a McKinsey study points out that buildings with robust automation and data systems achieve better long-term value and higher tenant satisfaction across areas like energy usage, safety tracking, and property oversight.

The conclusion is clear: using software leads to better results.

Why It Matters Now, and What You Can Do

Building operations are more complex than ever. With new regulations, rising expectations, and increasingly data-driven systems, legacy tools and outdated systems just don’t cut it anymore. Whether you’re managing real estate, facilities, or strata operations, you need systems that are faster, smarter, and more reliable.

Spreadsheets often create more administrative work and leave room for error. Building management software, on the other hand, is built to support your role. It streamlines daily tasks and boosts overall performance.

You don’t need to overhaul everything at once. Start with a single feature, like asset tracking or maintenance scheduling, and expand over time. Many managers find that once they start using building management software, they don’t want to go back.

It also improves communication. Whether you’re handling tenant issues, maintenance tasks, or compliance requirements, a central system reduces friction and saves valuable time.

Check out our guide on simplifying maintenance with asset tracking tools to get started.

The Bottom Line

Spreadsheets are useful—but they weren’t built for managing complex building operations. As your responsibilities grow, they become harder to manage and riskier to rely on.

Building management software is designed for this work. It’s accurate, team-friendly, and supports compliance, automation, and preventive maintenance. Whether you’re in real estate, strata, or facilities management, it helps you run your building more efficiently.

5. High Speed Connectivity and IoT Infrastructure

Behind every successful smart building is a strong, secure network. High-speed WiFi infrastructure and dependable Internet of Things (IoT) connectivity are no longer optional—they’re essential. These technologies form the backbone of all smart home systems, ensuring reliable performance and a seamless user experience.

The benefits of strong infrastructure connectivity can include:

Smooth operation of smart devices

Future proofing for evolving smart home technology

Resident satisfaction (and willingness to pay a premium)

An article from Colliers shows that integrating intelligent technology and IoT into buildings enables the collection of vast amounts of data tracking everything from space usage to energy consumption. Installing advanced fibre connections, 5G support, and building-wide WiFi hotspots will ensure your property is ready for the next wave of innovation.

How to Prioritise the Right Smart Upgrades

With a growing range of smart home technologies on the market, choosing the right upgrades for your apartment building requires careful planning. Prioritising features that deliver the most impact—both operationally and financially—can help you future-proof your investment. Here are practical tips to guide your decision-making:

Start with Security and Access

Why it matters: Tenants value safety and convenience, and building owners benefit from fewer lost keys and more efficient property access.

How to get started: Install smart locks, video intercoms, and mobile-access systems first. These upgrades are relatively low-cost, easy to implement, and offer quick returns in tenant satisfaction and operational savings.

Focus on Integration

Why it matters: Disconnected devices can complicate operations and frustrate users. Integration creates a seamless, intuitive experience for residents and managers alike.

How to get started: Choose platforms that support multiple device types (e.g. lighting, climate, access) and allow centralised control via a single app or hub. Look for open ecosystems over proprietary ones for long-term flexibility.

Plan for Long-Term Scalability

Why it matters: As technology evolves, your building should be able to evolve with it—without needing a full system overhaul.

How to get started: Select systems that can expand easily, whether you’re adding more devices, connecting additional units, or upgrading firmware. Prioritise cloud-based solutions and modular systems that grow with demand.

Visitor parking is an increasing challenge for many residential and mixed-use buildings. As urban density grows and car ownership stays consistent, both residents and their guests are finding it harder to access available parking. A well-managed visitor parking system can significantly boost resident satisfaction, improve building security, and simplify access for short-term guests and service providers. For building managers, adopting building management software can help centralise bookings, enforce rules, and ensure fair allocation of limited spaces.

According to the Property Council of Australia, apartment dwellers collectively spend over $6 billion on unused off-street parking spaces—highlighting a clear mismatch between parking supply and actual demand. The Council recommends unbundling visitor parking from residential allocations and adopting smart booking systems to optimise usage and reduce resident frustration.

In this article, we explore seven smart ways to modernise your building’s visitor parking management.

1. Introduce a Digital Parking Permit System

Gone are the days of manual sign-in books or printed passes. A digital parking permit system allows residents or concierge teams to allocate visitor spots through an app or cloud-based platform.

Benefits of going digital can include:

Time-stamped digital records for security

Instant permit approval and expiry controls

Reduced risk of misuse or overbooking

Many of these tools integrate with broader building management platforms. For example, visitor parking can be managed alongside other digital bookings like amenities, see 4 Ways to Enhance Tenant Experience with Amenity Booking Tools.

2. Allocate Clearly Marked and Signposted Visitor Bays

Clear signage and ground markings prevent confusion and ensure guests know where to park. Signs should include permit instructions, time limits, and contact details for onsite management.

Consider adding:

Directional arrows or maps at entry

Visitor-specific bay numbering

Reminders for max parking durations

Buildings.com advises using digital and physical signage techniques, such as floor-embedded directional symbols, ceiling-mounted signs, and LED-lit wayfinding to guide drivers efficiently and safely to visitor bays. Their insight highlights how a blend of visual cues and clear parking rules enhances user experience and reduces bottlenecks, directly supporting your recommendations.

These small changes can drastically reduce frustration, especially in high-rise apartment complexes with shared facilities.

3. Implement a Visitor Parking App or Portal

An integrated visitor parking app or tenant portal can give residents more control over visitor access. Features to look for:

Booking requests and approvals

Real-time space availability

Access history and notifications

Modern building ecosystems can leverage cloud‑based smart‑parking systems that feature sensor-enabled apps for booking, wayfinding, and pass issuance. These platforms centralise control, alert residents in real-time about space availability, and streamline visitor access with minimal manual intervention.

Integrating this with parking access control helps automate the experience, reduce administrative overhead, and prevent unauthorised use.

4. Use Access Control to Prevent Misuse

Too often, building visitor parking bays are misused by residents or third-party tenants. Implementing parking access control solutions such as number plate recognition or QR codes can help limit abuse.

You may also:

Limit entry hours based on booking windows

Use boom gates or automated bollards

Assign rotating codes for regular contractors

For broader tech integrations like smart fobs and digital keys, see The Evolution of Building Access Systems from Keycards to Smart Tech.

5. Monitor and Track Parking Data

Using software that logs bookings, entries, and durations allows management to assess parking demand and resolve disputes.

Useful metrics to track:

Number of visitors per unit per month

Peak times for visitor arrivals

Duration of typical parking stays

Deloitte’s Future of Parking insight highlights that modern parking ecosystems rely on sensor-driven occupancy tracking paired with dynamic data analysis. Management dashboards provide real-time and historical usage patterns.

This kind of apartment parking management is crucial in strata buildings where common areas must be fairly distributed.

6. Set Clear Visitor Parking Rules and Communicate Them

Digital solutions only work when paired with clear policies. Make sure residents are aware of parking rules, durations, limits per apartment, and booking procedures.

Deliver this through:

Onboarding kits for new tenants

Building-wide announcements

Clear in-app booking instructions

Propmodo cautions that even the smartest parking tools fail without transparent policy communication. In a feature on holiday peak parking, they stress the importance of informing residents about parking spots, permit rules, and booking channels, backed by signage and digital reminders to prevent gate crashes and ensure smooth operations.

Consistent communication reduces confusion and builds trust between management and tenants.

7. Integrate Visitor Parking Into Overall Building Systems

Residential parking systems work best when they’re not standalone. An integrated approach saves time, improves data accuracy, and reduces duplicate tasks for concierge or strata teams.

For example:

Combine parking data with security logs

Sync with contractor or maintenance bookings

Allow bookings via a tenant portal or building app

This system-wide approach is aligned with how MYBOS helps buildings centralise operations.

Smart Cities Dive underscores that truly “smart” parking systems must be integrated into broader building technologies. They emphasise more centralised management, avoiding siloed systems, and ensuring that parking data, enforcement, payments, and access control all reside in one unified platform, eliminating fragmented operations and boosting efficiency across the board.

Key Takeaways to Upgrade Visitor Parking for a Better Resident Experience

As buildings grow in size and complexity, so do the expectations around convenience and accessibility. Enhancing your visitor parking approach is a simple yet effective way to meet those expectations and future-proof your property.

Improving visitor parking doesn’t have to be a major overhaul—it’s often about smart planning, clear communication, and leveraging the right tools. By implementing even a few of the strategies covered in this article, building managers can significantly reduce confusion, streamline parking access, and create a better experience for both residents and their guests.

Trend #1: Mobile and Cloud-Based Access Control

Mobile technology has become a cornerstone of modern access control. Instead of traditional keycards, users can now unlock doors using smartphones, smartwatches, and digital credentials via secure apps.

According to a 2023 report by MarketsandMarkets, the global market for mobile access control is projected to reach USD 10.4 billion by 2024, growing at a CAGR of 7.8% from 2024 to 2029.

Cloud-based platforms empower property managers to issue or revoke access remotely, monitor entry activity in real-time, and implement updates across sites instantly. This level of scalability is ideal for managing multi-site portfolios and adapting to flexible work arrangements.

Learn how MYBOS is enabling smarter, more connected buildings here.

Trend #2: Biometric Authentication

Once exclusive to high-security government sites, biometric authentication — including facial recognition, fingerprint scanning, and iris recognition — is now accessible to commercial properties.

Biometric systems significantly enhance identity verification, making unauthorised access far more difficult. Build Australia reports growing adoption of these technologies in buildings prioritising both security and user convenience.

However, managing biometric data responsibly is crucial. Implementing strong encryption, complying with data protection laws, and maintaining transparent policies are essential to protecting user privacy and maintaining trust.

Trend #3: Integration with Smart Building Ecosystems

Access control is increasingly integrated with broader smart building systems. When access data links with HVAC, lighting, CCTV, and occupancy sensors, building operations become more centralised and efficient.

For example, lighting and air conditioning can automatically adjust based on occupancy detected through entry systems. This integration not only optimises energy use but also enhances tenant comfort and operational oversight.

To see how tech is playing a central role in property management today, read our article on The Importance of Technology Post-COVID.

Trend #4: Real-Time Data and Predictive Analytics

Modern access control platforms generate vast amounts of real-time data. When paired with AI, this data can be analysed to uncover patterns, flag anomalies, and even predict potential security risks.

For property managers, this means more informed decisions on space utilisation, staffing, and security. Predictive analytics can identify unusual behaviors — such as access attempts during off-hours — and trigger automatic alerts or lockdowns.

Security Magazine highlights how AI-enabled systems are transforming physical security, allowing faster, more proactive responses.

Trend #5: Touchless and Contactless Experiences

The pandemic redefined our expectations around physical interaction. As a result, touchless entry solutions have become essential in maintaining hygiene and convenience.

Technologies like motion-activated doors, gesture-based access, voice control, and QR code check-ins are now standard in many commercial spaces. These tools not only reduce germ transmission but also deliver smooth, contact-free access for tenants and visitors.

Revfine reports that biometrics and touchless systems are revolutionising how businesses — especially in hospitality — manage identity verification and customer experiences.

Trend #6: Enhanced Cybersecurity in Physical Security

As access systems migrate online, they inherit the vulnerabilities of digital infrastructure. The convergence of physical and cyber security makes system protection a top priority.

Key security features now include encryption, multi-factor authentication, and zero-trust frameworks. Regular updates, compliance with cybersecurity standards, and robust network protections are essential to safeguarding data and access points.

A report by IBM reveals the average cost of a data breach in 2024 was USD 4.88 million — a stark reminder of the importance of cybersecurity in physical security systems.

Key Takeaways: Modernising Building Access for a Smarter Tomorrow

Looking forward, the next wave of innovation in building access will focus on personalisation, decentralisation, and sustainability:

Decentralised identity management using blockchain could give users secure, self-controlled credentials.

AI-powered personalisation will adapt access levels based on behavior and job roles.

Sustainable access systems will support energy efficiency and environmentally conscious building design.

Effective property maintenance is essential not only for preserving the physical structure of a building but also for ensuring compliance, tenant satisfaction, and long-term asset value. When it comes to maintaining a property, building managers are faced with a crucial decision, should they manage everything in-house or outsource to specialised service providers?

According to CBRE’s Facilities Management Procurement Perspectives, the majority of respondents (58%) outsource their facilities management services, highlighting a trend towards leveraging external expertise for efficiency and cost-effectiveness. In many cases, the right facility manager software can further enhance these outsourced partnerships by streamlining communication, tracking performance, and improving overall operational control.

This article explores the advantages and challenges of both in-house and outsourced building maintenance approaches, helping you decide what’s best for your building.

Understanding Property Maintenance in Commercial Settings

Property maintenance for commercial buildings involves the strategic upkeep of all physical assets—mechanical systems, infrastructure, and common areas—to ensure operational efficiency, compliance, and tenant satisfaction. It includes preventive, corrective, and reactive tasks aimed at minimising downtime, extending asset lifecycles, and supporting long-term value. For facility managers, it’s a critical function tied directly to cost control, safety standards, and performance metrics.

In commercial environments, this includes a broad range of tasks such as:

Daily Tasks

Inspect HVAC systems and check temperatures

Respond to maintenance requests and service tickets

Perform routine cleaning and sanitation of common areas

Check lighting and replace burnt-out bulbs

Inspect entryways, doors, and security systems

Weekly Tasks

Test emergency lighting and exit signs

Inspect plumbing for leaks or water pressure issues

Conduct landscape and grounds maintenance

Review inventory of maintenance supplies and tools

Check elevators and other mechanical systems for irregularities

Monthly Tasks

Perform preventive maintenance on HVAC and mechanical equipment

Inspect fire safety systems (alarms, extinguishers, sprinklers)

Review and update maintenance logs and compliance checklists

Clean air filters and service ventilation systems

Conduct roof and exterior inspections for damage or wear

Learn more about the three main types of maintenance strategies to understand where your building fits.

In-House Property Maintenance: Control and Familiarity

In-house property or facility maintenance involves a dedicated on-site team employed directly by the building or management company to handle all maintenance tasks, from routine inspections to emergency repairs. This setup allows for faster response times, better control over maintenance quality, and stronger familiarity with the property’s systems and needs. Teams will typically include general maintenance technicians, specialists (e.g., electricians, HVAC), and a supervisor managing schedules, compliance, and reporting.

Managing maintenance operations internally offers a number of potential benefits:

Pros:

Full control over staff and schedules – You’re directly managing the team, ensuring alignment with building-specific needs.

Quicker response times – On-site staff can react immediately to urgent issues.

Greater familiarity with the building – In-house teams know the layout, systems, and historical challenges.

Cons:

Higher fixed costs – Hiring, training, and retaining qualified staff can be expensive.

Resource limitations – Internal teams may not have the tools or expertise for every job.

Risk of burnout – Smaller teams often get stretched thin, especially during peak periods.

While in-house management provides greater control, it also requires a substantial investment in time and financial resources.

Colliers also highlights the importance of in-house teams in delivering exceptional customer experiences. They note that front-of-house staff receive extensive training on the property they’re within and any issues they may encounter, ensuring a high level of service and familiarity with the building’s specific needs.

Outsourcing Maintenance: Flexibility and Specialised Expertise

Outsourced property or facility maintenance involves contracting external service providers to handle maintenance tasks, either partially or fully, depending on the building’s needs. This setup allows building teams to scale resources, access specialised expertise, and reduce internal staffing overheads. Typically, a facility manager oversees the coordination of vendors, manages service-level agreements, and ensures compliance and performance standards are met.

Engaging third-party maintenance service contractors can be a game-changer, especially for buildings requiring a wide range of specialist services.

Pros:

Access to a wider skill set – Contractors often bring highly specialised knowledge and equipment.

Scalability – Easily adjust services based on demand or budget constraints.

Cost-efficiency – Pay only for the services you need, when you need them.

Cons:

Less control – Outsourced providers operate on agreed contracts, which may limit flexibility.

Inconsistent service levels – Quality can vary depending on the provider.

Onboarding time – Contractors require time to learn building-specific processes and nuances.

With the right partner, outsourced maintenance can significantly improve efficiency and performance, especially when paired with a robust software platform.

EY Australia reported that outsourcing internal functions and processes to a third-party managed services provider can offer several benefits, including supplementing internal resources and expertise, reducing budgetary expenditures, and improving overall efficiency. This approach allows organizations to focus on their core business while leveraging the specialized skills and technologies of external providers.

Preventive Maintenance: A Core Requirement, Regardless of Model

Preventative property or facility maintenance involves regularly scheduled inspections and servicing of building systems to prevent breakdowns, extend asset life, and ensure regulatory compliance. By proactively managing tasks like HVAC servicing, fire safety checks, and equipment calibration, building teams can reduce unplanned downtime, lower long-term repair costs, and maintain safety and tenant satisfaction. Whether in-house or outsourced, preventive maintenance helps improve operational continuity and minimise costly reactive repairs.

Recent findings from the Facility Management Association of Australia show that preventive maintenance can cut emergency repairs by up to 45%. This highlights the importance of a structured approach, no matter which strategy you choose.

For a deeper dive, see our guide on how to successfully manage preventative maintenance.

Key Factors to Consider Before Choosing

Before deciding which model works best, consider the following factors:

Building size and complexity

Budget constraints

Type and frequency of services needed

Staffing availability and expertise

Compliance and safety regulations

For example, smaller buildings may benefit from the personal touch of in-house teams, while high-rise complexes often need the expertise that external contractors bring.

Hybrid Approach: The Best of Both Worlds?

The decision between outsourcing and in-house property maintenance isn’t one-size-fits-all. It depends on your building’s unique needs, available resources, and long-term goals. The right strategy will help ensure your commercial building upkeep remains consistent, cost-effective, and future-ready.

Some property managers are now adopting a hybrid approach—keeping a core in-house team for routine property inspections and minor fixes, while outsourcing more technical or large-scale tasks like HVAC servicing or electrical audits.

This approach can provide:

Greater flexibility

Reduced internal staffing costs

A balance between control and expertise

If your building has diverse needs but limited internal capacity, this model might offer the optimal balance.

According to Deloitte’s report on hybrid service delivery models, organizations have achieved significant operational cost savings, over $200 million over five years by adopting flexible hybrid approaches that combine in-house capabilities with outsourced services. This model allows for greater adaptability and efficiency in service delivery.

Automate routine inspections

Centralise communications and documentation

By implementing smart software, you can ensure consistency, reduce manual errors, and improve visibility across all maintenance operations.

For any facility team, selecting the right maintenance contractor is essential. With Australia’s facility management sector projected to see strong growth due to increasing demand for integrated services and sustainability-driven operations, Cushman & Wakefield highlights that the shift toward integrated facilities management is reshaping how building owners approach contractor selection.

This also underscores the operational challenges that can arise when contractors are not properly vetted, particularly issues around service delivery standards and delayed payments that affect tenants, teams, and tradespeople. The right facility management system software can help streamline contractor vetting, work order tracking, and invoice approvals — reducing risks and ensuring transparency throughout the process

Whether you’re a facility manager, building owner or property developer, the right facility maintenance contractor can save time, money, and operational stress. Below are some key questions to ask, to ensure you’re hiring the best fit for your property:

1. What Experience Do You Have in Facility Maintenance Services?

Start by assessing the contractor’s background. How long have they been providing facility maintenance services? Have they worked on buildings or commercial properties similar to yours? Their experience with commercial maintenance teams or larger facility management companies can indicate their ability to meet your needs.

Look for a contractor who understands the specific challenges of your facility type, be it an office building, industrial site, or multi-tenant property.

2. Can You Provide References and Case Studies?

A trustworthy facility maintenance contractor will be transparent about their track record. Ask for references or case studies that showcase past projects. Ideally, these should highlight their ability to deliver quality work on time and within budget.

Follow up with these references. Ask about the contractor’s communication, problem-solving approach, and how they handled unexpected issues.

3. What Certifications and Licences Do You Hold?

Any legitimate contractor should be fully licensed to operate in your state or territory. They should also hold relevant certifications that demonstrate compliance with industry standards and safety practices. Certifications may also indicate a commitment to ongoing training and excellence in service delivery.

In Australia for example, facility management (FM) contractors may require various certifications, compliance qualifications, and licenses depending on the services they provide, the industries they operate in, and the legal obligations specific to each state or territory.

Depending on services offered, FM contractors must comply with federal, state, and local regulations:

White Card (Construction Induction Training) – Required for any work on a construction site.

Electrical Licensing – For contractors providing electrical maintenance (regulated per state).

Plumbing and Gas Fitting Licenses – Required for any water, sewerage, or gas-related work.

HVAC/R Licensing – For heating, ventilation, and air conditioning services, often requiring Refrigerant Handling Licence (issued by the ARC – Australian Refrigeration Council).

Security Licensing – If providing services involving access control, alarms, or surveillance systems.

Working with Children Check – If the contractor operates in schools, childcare, or aged care settings.

Asbestos Removal Licensing – For any work involving hazardous materials, as regulated by Safe Work Australia and relevant state authorities.

Elevated Work Platform (EWP) or High-Risk Work Licences – For contractors using heavy machinery or working at heights.

This step ensures that your contractor adheres to legal requirements and professional benchmarks.

4. How Do You Approach Preventive Maintenance?

Preventive maintenance is a cornerstone of efficient facility upkeep. Contractors should offer a proactive approach, regular inspections, scheduled maintenance, and equipment servicing to minimise downtime and prevent costly emergency repairs.

For deeper insights into how streamlined processes can reduce downtime, check out our article on how to streamline facility work orders.

5. What Is Your Emergency Response Time?

When things go wrong, response time is everything. Ask about their procedures for emergency maintenance requests. Do they offer 24/7 services? What’s their average response time during after-hours or holidays?

Quick, effective responses can significantly reduce operational disruptions and tenant dissatisfaction.

6. Do You Use Facility Management Software?

In today’s digital era, the best facility maintenance contractors use software to manage work orders, track service history, and provide reporting. This adds transparency, streamlines communication, and ensures accountability.

If you’re interested in modernising your building operations, read about the future of facility management and trends to watch.

7. How Do You Ensure Safety Compliance?

Safety is non-negotiable in facility maintenance. Ask about their internal safety protocols. Do their workers undergo regular safety training? How do they ensure compliance with state and national safety standards?

Australian contractors must always follow Work Health and Safety (WHS) laws, which can vary by state but are nationally aligned through Safe Work Australia. They may need to demonstrate:

WHS management plans

Risk assessments and SWMS (Safe Work Method Statements)

Incident reporting protocols

Depending on the scale of the maintenance works required, contractors can also have insurance available for:

Public Liability Insurance

Workers’ Compensation Insurance

Professional Indemnity Insurance (especially for advisory or consulting services)

This is particularly important if your facility includes high-risk areas such as rooftops, machinery rooms, or industrial spaces.

8. What Is Your Pricing Structure?

Get clarity on their pricing model. Is it hourly, fixed-fee, or tiered by service level? Are there additional charges for emergency call-outs or specialised services?

A detailed pricing structure will help you budget accurately and avoid unexpected costs down the line. According to Deloitte’s Pricing and Profitability Management practice, aligning pricing strategies with customer value drivers and transaction-level insights can enhance profitability and ensure financial control in service contracts.

9. Do You Subcontract Any of Your Work?

Some facility maintenance contractors subcontract parts of the job. If so, ask who these subcontractors are and how their work is monitored. It’s crucial that any third parties maintain the same standards of quality and safety.

Transparency around subcontracting also helps avoid the risk of miscommunication or delayed services.

10. What Metrics Do You Use to Measure Success?

A professional contractor should track key performance indicators (KPIs) such as response times, job completion rates, customer satisfaction, and cost-efficiency. This demonstrates a results-driven mindset.

You can also request regular performance reports to keep your team informed and improve accountability. According to PwC Australia’s Real Estate Strategy and Technology insights, effective facility management often includes performance-based fees and year-over-year improvement plans, with KPIs reviewed to ensure alignment with organisational goals.

Final Thoughts: Choosing the Right Vendors for Your Facility’s Future

Hiring a facility maintenance contractor shouldn’t be a rushed decision. By asking these critical questions, building owners and developers can identify the most reliable and capable partners, ones who offer not just services, but peace of mind.

Asset Management vs Asset Tracking: Differences | MYBOS

Do you know where your building’s assets are, or how well they’re performing? Keeping track of building assets is essential for efficient operations—but not all asset solutions are created equal. Two common terms often used interchangeably are asset tracking and asset management. While they share similarities, understanding the distinction is crucial for property professionals looking to optimise building performance, reduce inefficiencies, ensure compliance, improve ROI, and make smarter asset-related decisions. Using building management software can centralise asset data, streamline maintenance schedules, and provide actionable insights for better decision-making.

According to Deloitte, implementing predictive maintenance solutions can modernize operations by connecting machines to reliability professionals, optimizing operations in real time, and providing advance insights into failures, thereby maximizing asset life while avoiding disruption.

With that in mind, let’s explore the differences and how each one fits into a modern building management strategy. Whether you’re overseeing a single property or managing a portfolio, we’ll help clarify which system best suits your needs—and how to get the most value from each.

What Is Building Asset Tracking?

Building asset tracking refers to the method of monitoring and recording the physical location, status, and usage of assets in real time. These assets might include HVAC units, lighting systems, elevators, pumps, fire systems, and other equipment critical to building operations.

Today, most asset tracking is done using barcodes, QR codes, or RFID tags linked to cloud-based software systems. This allows for real-time visibility, helping building managers reduce loss, improve compliance, and ensure nothing falls through the cracks.

But tracking only shows where an asset is and how it’s being used, not how well it’s performing or how much value it’s delivering over time.

If you’re not yet recording the right details about each asset, check out our guide on what details you should be putting in your asset register.

What Is Building Asset Management?

Building asset management, by contrast, is the broader, strategic process of maximising the value of those assets over their full lifecycle. From acquisition and deployment to ongoing use and eventual replacement or disposal.

Asset management is far more than location tracking. It includes:

Lifecycle planning – Forecasting repair and replacement timelines

Preventative maintenance – Reducing downtime and unexpected breakdowns

Condition monitoring – Analysing performance to ensure long-term reliability

Regulatory compliance – Keeping assets up to standard

Cost optimisation – Reducing wasted spending by managing use and replacement cycles

A proper asset management plan integrates many tools and data points, including asset tracking, as part of a broader, smarter building management strategy.

For an in-depth look at managing scheduled upkeep, explore our post on asset maintenance scheduling and records.

Key Differences Between Asset Tracking and Asset Management

Understanding the distinction between asset tracking and asset management is crucial for effective facility operations. As highlighted in a recent article from FM Media, integrating comprehensive asset management systems can enhance project performance and financial forecasting, leading to improved decision-making and resource allocation.

The table below summarises some of the key differences between asset tracking and asset management at a glance:

Category

Asset Tracking

Asset Management

Purpose

Focuses on monitoring the location and current status of assets.

Aims to understand and optimise the asset’s value over time.

Tools Used

Involves barcodes, GPS/RFID tagging, and cloud-based logs.

Utilises tracking inputs plus analytics, forecasting tools, and cost modelling systems.

Scope

Tactical – about inventory and records.

Strategic – about lifecycle value, compliance, and budgeting.

Outcome

Helps prevent loss or duplication.

Improves decision-making, extends asset life, and reduces operational costs.

Why Tracking Alone Isn’t Enough

Imagine you’re tracking a pump in your building. You know where it is, how long it’s been in use, and maybe even the last time it was maintained. That’s helpful but it’s not enough.

Without a preventative maintenance plan, you won’t know when it’s due for servicing. Without financial tracking, you don’t know if it’s worth replacing. And without lifecycle management, you’re operating reactively, not proactively.

If you’re looking to transition from reactive fixes to a predictive, long-term approach, start with our guide on how to successfully manage preventative maintenance.

Why Building Asset Management Adds More Value

Integrating asset tracking into a comprehensive asset management system yields substantial benefits, including enhanced budgeting, minimized downtime, and extended asset lifespan. As highlighted by Cushman & Wakefield, strategic asset optimization, such as investing in energy-efficient buildings, not only reduces operational costs but also appeals to environmentally conscious tenants, thereby enhancing overall asset value.

When you integrate asset tracking into a broader asset management system, you unlock benefits like:

Improved budgeting – Asset history and performance data allow for accurate forecasting.

Less downtime – Scheduled maintenance prevents costly surprises.

Increased asset lifespan – Well-maintained assets last longer and perform better.

Greater transparency – Everything from compliance logs to depreciation reports is easily accessible.

Data-driven decisions – Managers can make smarter calls on replacement, upgrades, or disposals.

Choosing the Right Software for Your Building

Selecting the appropriate facility management software is crucial for streamlining operations and enhancing efficiency. Key findings from another FM Media article have highlighted that collecting data alone isn’t enough – teams must identify the right data to collect, ensure its quality, and use it to gain actionable insights that align with strategic goals. By focusing on meaningful metrics and leveraging standards like ISO 55000, facility and building management teams can shift from reactive to predictive asset management, improving equipment effectiveness, reducing downtime, and making smarter, cost-effective decisions.

The best tools combine both capabilities. A modern facility management software platform should offer:

Real-time asset tracking and scanning

Maintenance scheduling

Asset lifecycle reporting

Customisable dashboards and notifications

Easy integration with other building systems

This is where MYBOS comes in. Our platform simplifies both equipment tracking and equipment maintenance, helping building and strata managers stay in control and compliant while saving time and money.

From Tracking to Full Management: Choosing the Right Approach for Your Building’s Needs

As buildings become smarter and more complex, the tools used to manage them must evolve too. The line between asset tracking and asset management isn’t just semantic—it can significantly impact how well your building runs.

Asset tracking is a great starting point for visibility—knowing what assets you have, where they are, and their current condition. But for buildings that require proactive maintenance, long-term planning, and operational efficiency, asset management offers a broader, more strategic solution. Understanding the difference allows building teams to align their tools with their goals.
