Stage 2: Manual Configuration in the Platform

There are some areas within MYBOS that will require the user to manually add information or build out. This configuration can be completed while data is being prepared. This may include setting up inspection templates, uploading documentation, setting up By-Laws to be linked to use Breaches etc. Inspections (Building > Inspections) – If you need to setup inspection templates, these inspections can be completed on the MYBOS BM app and multiple inspection templates can be built out if needed. This could also be used as an option for a checklist to be completed for staff in the building. To set this up under Building > Inspections: Select New Template Enter an Inspection Name ie. Daily Walkthrough etc Select Inspection Type (is it for Common Property or Private Lots) Enter an Area Name (this could be Main Lobby) > Select Add Area Add items in the area to be checked (this could be ensure entrance clean and clear of rubbish), multiple items can be added to an area. Repeat building out the areas and items as required for your inspection. Once finished building out select Save Template. By-Laws (Building > By-Laws) – If you are looking to have the ability to link By-Laws to breaches you will need to add the by-laws in manually. Under Building > By-Laws. Select New Enter in the By-Laws Title Under Description enter the full by-law. Select Save. Repeat above step to add all. Library (Building > Library) – Under the building you can add documents to store in MYBOS, they could include building plans or other important documents you need the history stored for. Under Building > Library. Select Create Folder > Enter Name > Select Add. Select Folder you would like to upload document to > Select Upload File. Inventory (Building > Inventory) – If you have stock of items for repairs within the building, you can track and allocate stock against cases. Under Building > Inventory. Select Notification Email (this is for the email/s for low stock reminders) > Enter Email > Add. Select New. Enter Inventory Details including: Item Name Quantity on Hand (if you select unlimited this is not required) Tick boxes for Unlimited and Low Stock Reminder Location Part Number Cost Sell Description Attachment – upload a photo of inventory item. Meters (Building > Meters) – There is the ability to add meters to track readings they can be for common area meters and apartment specific. If you are adding for Apartments the apartment numbers will need to be imported to complete. Under Building > Meters Select New Meter Select Apartment > Apartment Number or Common Area Type (Gas, Electric or Water) Meter Number Meter Location Save and repeat remaining meters. Wiki (Building > Wiki) – This can be built out as a how to guide or procedures for the building, for example how to reset the circuit breaker etc. Under Building > Wiki. Select New Wiki > Create New Folder > Enter Folder Name > Save Enter Subject Enter the Description/Instructions. Select Folder. Upload File can be attached such as manual. Save. Building Keys – if you would like to be able to sign in and out keys for contractors within MYBOS. Under Keys > Building Keys > Select Add New Key and enter the following: Key ID – Key reference or number Key Type – is it a swipe card, metal key or combination? Key Location – who is the key located with? Comment – additional information can be included (visible from BM web portal) Media Screen (Top of Screen Select Media Screen) – If you wish to display information for the building on a media screen, the screen will need to be a smart TV with access to the internet the display feeds directly to a web page. Select New Enter Monitor Name and Address > Select Save Then Select the Monitor you created. Under Templates > Select is it Landscape or Portrait > Select the Format of the Screen (eg. do you want to display announcements, documents and parcels or just documents and announcements etc). Select the + and update the length of time for changeover. Announcements – Title and Welcome Message can be added for any announcements for the building. Documents – these must be PDF documents uploaded with a maximum file size of 20MB, multiple documents can be added. Backgrounds – there are stock images that can be used and you can have different backgrounds filtering through. Depending on what format you have selected, you can hit the drop-down arrow to expand to view what items you have setup.]]>
