Stage 1: Set Up Your Building

Submit Your Client Requirement Form Client Requirement Form has been provided from MYBOS, customer to fill out the online form and submit which is sent to MYBOS for configuration to be completed. Configuration Request Changes via Email For the below items they will need to be requested through onboarding@mybos.com during the onboarding phase and after you have been onboarded you can request through support@mybos.com: Building Name Building Address Strata Plan Number Integrations – MaintainX and Groundfloor Lockers Accept Invite & Set Password Once you have received an email from regarding your user invitation, you will receive a link to setup your new password and you will be able to login. Each user of the system will need to configure their own user profile as no one else will have access to do so. Update Your Profile Once logged in select the 3 dots on the top RHS > Select Profile. From here you will see the following sections: Your Details – you can select the edit pencil to open up the fields and edit your name, phone numbers and add a profile photo. Password and Security – you can update your password from here. If you do ever forget your password there is a forgot password option from the login page of MYBOS to reset your password. Email & Template Options – please make sure you select the edit pencil to make any update. From here you can update your email signature as well as the reply to email, all emails from MYBOS come from . However, if you have your email setup in the Email Address field if someone selects reply to it will pull through the email address you have entered here. If you manage multiple buildings and have different emails and signatures for each building, you can select from the dropdown the different buildings. Please note the email address is an unmonitored inbox. If you wish to send from your own private domain, please reach out to and they can explain the steps required for this to be setup and your IT contact may be required to assist in the process. Configure in MYBOS Directly (via Settings > as shown) Building Image (this can be updated under Settings > Logo) Work Order Logo & Inspection Template Logo (this can be updated under Settings > Logo) Management Report Logo (this can be updated under Settings > Logo) Work Order Terms and Conditions (this can be updated under Settings > Work Orders) Categories such as Case Types, Case Statuses, Resident Types and Maintenance Requests (this can be updated under Settings > Categories & Descriptions) User Management – this is for any users needing access to the building management side of the platform (any changes to users can be completed by an Admin user of your building through the 3 dots next to your name > Select Switch to Company Portal) Localisation (this can be updated under Settings > Localisation) this includes your country, time zone, currency, date format and time format. Email Templates Review: Reviewing all the email templates setup in MYBOS. These can be accessed under Settings > Email & Template Options unless otherwise specified, this includes the following: Contractors: Cases – any quote requests, work order requests and case summaries being emailed out to contractors. Keys – return key reminder for contractors who have keys signed out. Maintenance Schedules – automated reminders for maintenance schedules to contractors. Contractor Portal – notifications if you are using the contractor portal and insurance/document reminders for contractors. Contractor Insurances – automated reminders for expired insurances. This can be accessed from under Contractors > Select Gear Icon > Select Edit Email Template. Ensure you check from the gear icon > Manage Auto Reminders has a number for days set. This number of days is based off the reminder will resend after X days from expiry until the document has been updated. Residents: Residents – resident user accounts notifications. Amenity Bookings – automated amenity booking notifications. Maintenance Requests – automated maintenance request notifications. In-house Services – automated in-house services notifications. Broadcast – templates can be setup for email, sms and push notifications to send out in bulk to residents. Parcels – automated notification about parcel waiting for collection.
